AI in the process
Processes can include AI steps on request. This is especially useful when information needs to be understood, sorted, summarized or prepared.
Many processes don't need AI, though. When filling in and reading an Excel file, a stable interface is often the simpler, more reliable solution.

Step by step, not big bang
We don't start with a complete overhaul of your workflows. We first choose one small, clearly scoped process with an identifiable benefit.
For this first process, the technical environment is set up and the workflow is built with n8n. A test phase with realistic examples follows. Only once the workflow has been sufficiently tested does it go live.
Further processes can then be added one after another. That way, the automation grows iteratively with your business and stays understandable, controllable and manageable.

Every automation I build is documented against a fixed set of criteria. That record captures:

The result isn't an internal checklist, but solid project documentation you can actually use as a client.
For projects where an independent external review is wanted, I work with Stephan Wagner, a lawyer and data protection expert. He reviews the specific solution, records findings and any improvements needed, and issues a dated audit report with a documented scope. After a successful review, the client receives a project-specific audit mark for the state reviewed. The audit report is refreshed after twelve months. This approach is called the LexGeneralis Compliance Check.
Project documentation
Every solution is documented against a fixed set of criteria. Technical measures, third-party providers involved, data processed and identifiable risks are recorded in writing. This documentation belongs to you.

Principle
AI is not an end in itself. An AI solution should meaningfully support an existing workflow. If a clear, simple automation without AI works better, that's the right choice.

Existing systems & processes
Do we need to replace our existing tools?
No. Existing systems such as Excel, your CRM, email or accounting are integrated and connected wherever possible. The goal isn't to replace your familiar tools, but to reduce unnecessary manual transfers and broken media.
Which processes can be automated with n8n?
Recurring workflows between several systems are particularly well suited. Examples include syncing data between Excel, CRM and email, daily briefings, automatic quality checks, error notifications, and categorizing and further processing emails.
Which workflows are particularly well suited to n8n automation?

Which workflows are less suited to automation?
Not every workflow should be automated. Less suitable are tasks that occur only very rarely, run completely differently each time, or rely heavily on personal judgment and direct client contact.
Unclear or not-yet-standardized workflows shouldn't be automated right away either. In such cases, it makes more sense to first simplify and structure the workflow. After that, it can be checked whether individual steps can be automated with n8n.
The goal isn't to automate as much as possible. The goal is a solution that reliably delivers real value in daily use.
Can an existing Excel file with our own logic still be used?
Yes. If your logic has proven itself over the years, it doesn't need to be replaced. The Excel file can be copied automatically, filled via an interface, and read back out after the calculation. Your trusted calculation stays intact and the process becomes more traceable.
AI & automation
Is AI used in every automation?
No. AI is only used where it provides a genuine benefit to the process, for example understanding, sorting, summarizing or preparing information. Many workflows work more simply, more reliably and more traceably without AI.
What does Managed AI mean?
Managed AI means AI applications are set up, configured and operated for you. You use AI in your daily work without having to worry about model selection, updates or technical setup yourself. What matters is that the solution fits your tasks and your data protection requirements.
What is an AI orchestrator?
An AI orchestrator is a platform that brings together and coordinates different AI models and tools in one central place. The team works with a unified interface instead of many separate tools. How long does implementation take?
A simple process can often be automated within a few days.
Exactly how long implementation takes depends on the process, the systems involved and the quality of the existing data. This includes setting up the environment, connecting the systems involved, building the workflow, and the test phase.
More complex workflows are broken down into smaller steps. The next process is only tackled once the previous one is live and sufficiently tested.
How much effort does this create for us?
At the start, I need your time to understand today's workflow. For that, we look together at the people, systems, data and work steps involved.
Depending on the process, the intro call and one or two further check-ins make sense. After that, the first process can be clearly scoped and implemented.
Your involvement stays manageable afterwards too: you give feedback, review the results, and decide together with me which process makes sense to tackle next.
How can the potential benefit be estimated?
We look at how often a workflow occurs, how much time it takes today, and how often errors or rework happen.
A proven Excel process serves as a benchmark: with four runs a day, around five minutes could be saved per run. That's roughly 100 minutes less manual effort per week. Avoided errors and less rework added around 30 more minutes in this example.
Altogether, that's a potential time saving of around two hours and ten minutes per week. Under these assumptions, the effort for a small first process would pay for itself within a few months. The actual impact depends on the specific process, its frequency and its error rate.

Can we trace what's happening automatically?
Yes. Every run is logged. Every single step can be reviewed and checked afterwards. The automation isn't a black box.
Who takes care of the solution if something needs adjusting later?
The solution is built to be documented and maintainable. Support and maintenance are provided on a clear engagement basis through Lavanchy Automation. Scope, response times and further conditions are agreed separately in each case.

That depends on your existing system landscape and the project's requirements. Data can stay with you or with a hosting provider in the EU or Switzerland. The concrete infrastructure is agreed together.
Is the automation implemented in a GDPR-compliant way?
The technical implementation is aligned with data protection requirements from the start. This includes data minimization, access rights, hosting, logging and the choice of integrated services. For an independent legal assessment, an external data protection expert can be consulted.
